Beginning Friday December 8th, the way you index a document will change for the OnBase document types listed below. Not all Columbia College staff have access to import all of these documents, however we would like all staff to be aware that the autofill feature in OnBase has changed for some document types.

Documents that can be indexed before a student is admitted have a feature on them called ‘Reverse Look Up’. You can distinguish which document types have this feature by this icon on the keywords screen in OnBase:
You will no longer be able to enter the Datatel Person ID and hit tab to autofill and index the document.
The new way to index documents with this feature; you will have to take the following steps:
Click on the Reverse Look up Icon (above) and this screen will appear
In this screen type in the students Datatel Person ID and click Find.
In the results screen; choose the student and click Submit
The students keyword information will now autofill in the Keyword section and you can Import the document.
The following document types have the ‘Reverse Look Up’ feature and will need to be indexed this way.
NOTE: Not all staff currently have security to Import these documents. Be on the look out for the ‘Reverse Look Up’ icon on all document types.
