Project: OnBase Upgrade to 24.1

Introduction

OnBase is the platform used for document imaging and various online forms and worflow processing across Columbia College. Upgrading to the newest stable version of OnBase is required for us in order to retain vendor support going forward.

When is the upgrade happening?

OnBase Platform Upgrade

When: Friday, April 11 at 5 p.m. through Monday, April 14 at 8 a.m. CT

OnBase will be unavailable for the entire weekend, including all OnBase forms like Enrollment Agreements, Financial Aid forms, Withdrawal forms, and others. There will be myPortal messages to alert students that select forms will be unavailable.

Access to OnBase and online forms will be restored by Monday, April 14 at 8 a.m. CT.

OnBase Desktop Software Upgrade

When: Beginning the evening of Monday, April 14

Impact: The OnBase Unity Client installed on campus computers will be upgraded to the latest version to ensure ongoing compatibility with the new OnBase platform version.

Access to other systems, including Colleague and Salesforce will not be impacted by the OnBase upgrade.

What's New?

OnBase App Enabler will no longer be an available feature in version 24.1.

Impact to users: Users will no longer be able to pull OnBase up from Colleague by using key stroke shortcuts.

OnBase WebClient now accepts SSO login.

Impact to users: Users will now go through Multi Factor Authentication (MFA) login process, for better security.

Known Issues

Changes to importing and viewing Word and Excel documents.

Impact to Users: If you import or view Word or Excel documents in OnBase it could change your viewing/import experience. Below are links to the Knowledge Base article with more instructions on the new experience.

Outlook 365- OnBase Plug-In

Impact to Users: The OnBase Plug-In is only available to those still on the Outlook 19 version or for those using the 365 Version but who are not using the "New Outlook" version. Below you will find a link to the Knowledge Base article for more information.
