Windows 11 - Device Backup Procedure

Overview

When you save files to your computer, they are automatically saved to the device’s hard drive. The main issue with this is that if a problem occurs with that hard drive, it might prevent Technology Services from being able to retrieve your files. It is therefore important that you back up important files to a more secure location. 

Your personal network drive (your ‘I’ drive) is still safe and accessible even in the event of a hardware failure. Note that this will allow you to back up the files that you access, not any programs you use to access them. For instance, you want to make sure to save any important Word Documents, PDFs, or images. The Microsoft Word and Adobe Acrobat applications can be reinstalled easily, but the files you create in these apps are vulnerable to being lost. Backing up your files regularly can prevent issues like this from occurring. 

How to:

Open your File Explorer from your Desktop.

Typically, each folder under ‘This PC’ is the default for the file type it contains; Word or Adobe documents under the Documents folder, files downloaded from the Internet in the Downloads folder, etc. Therefore, we suggest you check these folders first when looking for your files.

In each folder, highlight the files you would like to keep then right click on the files, then select ‘Copy’.
By selecting ‘Copy’ if something goes wrong while trying to move your files, the original files will still be safe in this location to try again.

Select your ‘I’ drive from the left-hand column of the ‘My Files’ app, then paste your files by right clicking in the main window and selecting ‘Paste’.
Please make sure that all your necessary files are now visible here in your network drive. You will have to repeat this process for each set of files in each folder from the previous step.

You can also create new folders in your ‘I’ drive back-up location to help organize any files you place here. This will help to keep your different files separate such as Word documents and photos.

After your device has been updated/after you receive a new device that is updated, you can again navigate to your ‘I’ drive back-up location and follow the previous steps in reverse to place your files back on your PC.
Open the File Explorer from your Desktop then select your ‘I’ drive from the left-hand column of the ‘My Files’ app. Now, highlight the files you would like to move, right click, then select ‘Copy’.

Select ‘This PC’ from the left-hand column of the ‘My Files’ app, then click the folder of the files you want to move.

Now you can replace your files by right clicking in the main window and selecting ‘Paste’.
