Microsoft Outlook - Creating a Separate Profile

Overview

In Outlook, a profile is used to tell a mailbox how to startup in Outlook.  You can create a separate profile to login to another email address (Or your own email address) provided you have the permissions to do so.  This is useful if you want to sign into another mailbox, you’re having cache issues with your profile, you need to reload mapped shared mailboxes, or if you’re profile became corrupted.

How to:

  1. Hit the search bar or magnifying glass in the bottom left of your taskbar (it’s next to the Start Menu), search “control panel”.
  2. Click control panel and open it.  In the top right of that window, search “mail”.  Choose the option Mail (Microsoft Outlook) that pops up.

  1. On the Mail Setup – Outlook box that pops up, choose the Show Profiles button.
  2. Create a new profile by hitting the Add button, name it the email account you’re using.
  3. When you hit Add, it will populate the Email Address field with your email address. (figure 1 below)
    1. You will need to change that to the address you are wanting to use.
    2. Go ahead and just remove everything in the “Your Name” field if you’re making a profile for a different mailbox. (See figure 2 below)
  4. Choose the option “Prompt for a profile to be used” at the bottom, then hit “OK”.
    1. This will allow you to choose what profile you want to use when you start Outlook.
    2. You can choose not to do this step, only if you’re setting up a new profile for your own mailbox, not a shared one.

Logging into Outlook

This section goes over how to login to Outlook after you create a new profile.  You will need to do this for each new profile.

  1. After that is done, close Outlook and re-open it.
  2. You should get prompted on what profile you want to login with if you selected the option “Prompt for a profile to be used” when you created the profile. (Step 6 above)
  3. Choose the profile for the mailbox you want to access (aka the one you just made).
  4. If it’s your first time logging into the mailbox, you will get a window that pops up asking to login with the email address of the mailbox you’re trying to access.  Remove that email address and put your own email address in and then hit enter.  Put in your password and you should be able to login.
    1. Basically, if you have been given access to a mailbox, you can use your own credentials to sign into it.  You should never need a password for the mailbox as long as you have access to it.

Switching Accounts

This section goes over how to switch between different mailbox accounts you made via creating a new profile.

  1. All you need to do to switch accounts is close Outlook and reopen it to choose what profile you want to use.
    1. Just another reminder, you can only switch accounts like that if you selected the option “Prompt for a profile to be used” in the mail options when you were creating the account. (See figure 1 above)

Opening a Mailbox Through Outlook Online

This section goes over how to access your mailbox through Outlook Online.

  1. You can open the mailbox in Outlook Online as well.  Open a web browser and go to https://outlook.com/ccis.edu and login with your Microsoft account.
  2. When you login, hit your profile icon in the top right and choose the option “Open another mailbox”.
  3. Type in the email address of the mailbox you want to open and hit “Open”.  You will only be able to do this with mailboxes you have access to, so keep that in mind.
  4. You can also save this mailbox you have open as a Favorite or Bookmark (depending on what your browser calls it) and just open it by clicking on it like any other Favorited link.  This is entirely optional.
